Privacy policy.
Last updated: April 2026
This privacy policy explains what information Raven & Dragon — operated by Raven and Dragon Entertainment LLC — collects from you, how we use it, and the choices you have. We've tried to write it in plain English. If anything is unclear, please reach out.
§ 1.What we collect
Information you give us directly
- Booking information — name, email, phone number, party size, and selected activity when you reserve a session.
- Waiver information — name, date of birth, address, phone, email, and emergency contact, as required for participation. For minors, the parent or guardian's information.
- Payment information — payment is processed by our third-party payment processor. We receive a confirmation and the last four digits of the card used; we do not store full card numbers.
- Communications — if you email, call, or message us, we keep a record of that conversation so we can follow up and improve our service.
Information collected automatically
- Website usage data — your browser and device type, IP address, pages visited, and referring site. This is standard web traffic information used to keep the site running and understand what's working.
- On-site media — photos and video may be taken during events for promotional use. Guests can opt out at check-in (see the waiver).
- Security cameras — our venue has security cameras for safety and loss-prevention purposes. Footage is retained for a limited period and is not used for marketing.
§ 2.How we use it
We use your information for these purposes, and these purposes only:
- Operations — managing bookings, processing payments, sending confirmations, and contacting you about your reservation.
- Safety & emergency response — staff need access to participant info and emergency contacts during your visit.
- Customer service — answering questions, resolving issues, and following up on your visit.
- Improving our service — understanding which activities are popular, where guests have trouble, and what we should add or change.
- Marketing — only if you've opted in (e.g., signed up for our newsletter) or consented to media use. We don't add you to mailing lists just because you booked a session.
- Legal compliance — when we have to comply with applicable law, court orders, or to protect our rights.
§ 3.Who we share with
We do not sell your personal information. Period.
We share information only with:
- Service providers who help us run the business — our booking platform, payment processor, email service, and waiver software. They access only what they need to do their job and are bound by confidentiality.
- Affiliated entities — Bella Vista Enterprises LLC, our co-operating partner, when relevant to operations or safety.
- Law enforcement or legal authorities, when required by valid legal process or to protect the safety of guests, staff, or the public.
- A successor entity, in the event of a sale, merger, or transfer of our business. You'd be notified of any such change.
§ 4.Cookies & analytics
Our website uses cookies and similar technologies for:
- Essential functions — keeping the site working, remembering your booking session.
- Analytics — understanding aggregate traffic patterns. We may use providers like Google Analytics to help with this.
You can disable cookies in your browser settings. Some site features may not work properly without them. If you're in a region where additional consent is required (e.g., the EU), you'll be asked before any non-essential cookies are set.
§ 5.Security
We take reasonable steps to protect your information using industry-standard practices: encrypted connections (HTTPS) for our website, restricted access to records, and trusted service providers for payments and bookings. That said, no method of transmission or storage is 100% secure, and we can't guarantee absolute security.
If we discover a security incident affecting your data, we'll notify you and any required authorities promptly, in accordance with applicable law.
§ 6.Data retention
We keep information only as long as we need it:
- Booking and waiver records — retained for a period consistent with our legal and insurance obligations (typically several years after your last visit).
- Payment records — retained as required by tax and accounting law.
- Marketing contacts — kept until you unsubscribe.
- Security camera footage — overwritten on a rolling basis after a limited retention period, unless preserved for a specific incident.
§ 7.Your rights & choices
You can:
- Access the information we have about you, by emailing us.
- Correct inaccurate information in your records.
- Delete information we no longer need to keep, subject to legal and operational obligations.
- Unsubscribe from marketing emails using the link at the bottom of any email, or by contacting us directly.
- Opt out of media use at check-in by initialing the opt-out box on the waiver.
Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act (CCPA) or the EU/UK General Data Protection Regulation (GDPR). To exercise any rights you have, contact us at the email below and we'll respond within the timeframe required by applicable law.
§ 8.Children's privacy
Our website and services are not directed at children under 13. We don't knowingly collect personal information from children under 13 online. For minors visiting our venue, a parent or legal guardian provides all required information by signing the waiver on the minor's behalf. If you believe a child under 13 has provided us with personal information online, please contact us and we'll delete it.
§ 9.Changes to this policy
We may update this policy from time to time. The "last updated" date at the top reflects the most recent revision. For significant changes, we'll provide additional notice — for example, an email to anyone subscribed to our newsletter, or a notice on our website. Continued use of our services after a change means you accept the updated policy.
§ 10.Contact us
Questions, requests, or concerns about your information? We'd rather hear from you than have you wonder.
